Assumptions, sources and version

2026 · financial-plan-1.0 · v2026.1

  • Indicative financial plan using your inputs; no financing approval or accountant’s assurance. The structure follows KVK and Qredits’ four budgets; Rekenbox is not affiliated with them.
  • The plan starts on the first day of a month. Assets, initial inventory, start-up spending and financing occur at the start. Inventory is then maintained: purchases follow budgeted cost of sales. Depreciation is straight-line over the entered useful life and is not a tax deduction claim.
  • Revenue and purchases are spread evenly across each month’s days; payment terms shift receipt or payment by the entered number of days. Fixed costs, salary and drawings are paid in the same month. Outstanding balances remain visible at the end.
  • The VAT model uses invoice accounting, one sales and purchase rate, recoverable input VAT and calendar quarters or months. VAT payable falls in the next month; refunds follow your entered delay. With VAT disabled, purchase VAT increases costs and investments. KOR, cross-border VAT, private use and partial recovery need separate calculations.
  • The income/corporate tax reserve is your planning percentage of positive profit. It is not a full tax assessment or loss-offset calculation. Sole-trader income tax is personal: the reserve reduces available cash, not business profit. For a BV we also show profit after the corporate-tax reserve.

How this tool works

A cash-flow forecast shows when money reaches your account and when payments leave it. Accounting profit alone cannot answer that question. Customers may pay after the month of a sale while wages, rent or VAT fall due earlier. This calculator shows opening cash, receipts, payments and closing cash for twelve to thirty-six months. The lowest balance and its month appear immediately, helping you investigate funding pressure before it happens.

Start with monthly sales and payment terms. The model spreads revenue and purchases evenly across each month's actual calendar days, then shifts the cash date by your entered delay. Thirty days is therefore not always the same as the next month. A short February and a longer March produce different receipt patterns. Customer receivables and supplier amounts paid after the end of the forecast remain visible as outstanding balances.

The first month contains your funding and payments for assets, opening inventory and start-up costs. Regular operating expenses are paid within their month. Interest and principal follow the selected loan term and repayment method. A sole trader's personal drawings also reduce cash. For a BV, entered director salary is included in operating payments. This lets you explore whether the business can support both its commitments and your chosen remuneration.

VAT accumulates according to the selected month or calendar quarter. A positive amount payable leaves cash in the following month. For a refund, you select the expected delay in months. An investment therefore does not cause an immediate assumed tax refund. The model uses one sales rate and one purchasing rate, with full input recovery when VAT is enabled. Special VAT arrangements require a separate assessment beyond this forecast.

Read the cash chart one month at a time. Red bars identify negative closing balances, and the explanation names the first month with a shortfall. Change customer timing, owner funding or costs to explore the effect. With every default setting intact, the €60,000 webshop example reaches its minimum of €2,629.58 in February and closes December at €7,222.77. These figures belong to that worked example rather than a forecast for your own business.

Once trading starts, compare the budget with a complete bank CSV. Review source rows and confirm that all accounts and full months are included. Duplicate movements are flagged and retained, while invalid rows block applying totals. Only monthly aggregates transfer to the plan. This comparison covers cash movements including VAT, financing and drawings, not revenue alone. Download the free PDF or Excel and use the differences to explain your next forecast version.

Cash-flow forecast example

With all default webshop assumptions, cash reaches its minimum of €2,629.58 in February and ends December at €7,222.77. In January, €3,500 revenue plus 21% VAT yields only €136.62 receipts within that month at a thirty-day customer term. The rest arrives later. This timing is why cash flow differs from profit.

Cash-flow forecast in Excel

Download the complete monthly forecast as Excel. Formulas link opening and closing cash and calculate receipts less payments. VAT, timing and loan amounts are calculated values: change them in the online tool and download a new version.

Common questions

How do I make a monthly cash-flow forecast?

Enter initial funding, revenue, expenses, investment and payment terms. The tool calculates calendar-month receipts, payments and closing balances. Review minimum cash and outstanding amounts.

When does VAT appear as a cash payment?

VAT payable is accumulated by month or calendar quarter and paid the next month. A refund follows your chosen delay of one to six months after that period.

Can a profitable business have negative cash?

Yes. Late receipts, assets, inventory, principal repayments and drawings can strain cash. The plan identifies the first negative month so you can explore funding or changed payments in advance.

How do I compare actuals with the budget?

Import a complete bank CSV and review every row. After your confirmation, monthly receipt and payment totals are compared with budgeted cash movements. Bank receipts are not classified as revenue.

Can I forecast cash flow for three years?

Yes, choose 36 months. Years two and three have separate revenue growth and fixed costs have a growth percentage. The chart switches between years; PDF and Excel include the entire horizon.
