Assumptions, sources and version

2026 · financial-plan-1.0 · v2026.1

  • Indicative financial plan using your inputs; no financing approval or accountant’s assurance. The structure follows KVK and Qredits’ four budgets; Rekenbox is not affiliated with them.
  • The plan starts on the first day of a month. Assets, initial inventory, start-up spending and financing occur at the start. Inventory is then maintained: purchases follow budgeted cost of sales. Depreciation is straight-line over the entered useful life and is not a tax deduction claim.
  • Revenue and purchases are spread evenly across each month’s days; payment terms shift receipt or payment by the entered number of days. Fixed costs, salary and drawings are paid in the same month. Outstanding balances remain visible at the end.
  • The VAT model uses invoice accounting, one sales and purchase rate, recoverable input VAT and calendar quarters or months. VAT payable falls in the next month; refunds follow your entered delay. With VAT disabled, purchase VAT increases costs and investments. KOR, cross-border VAT, private use and partial recovery need separate calculations.
  • The income/corporate tax reserve is your planning percentage of positive profit. It is not a full tax assessment or loss-offset calculation. Sole-trader income tax is personal: the reserve reduces available cash, not business profit. For a BV we also show profit after the corporate-tax reserve.

How this tool works

An operating budget tests whether expected sales can cover the cost of running your business. This calculator produces a monthly income forecast and totals for each forecast year. A completed webshop example gives you a result immediately. Change individual revenue months, the purchasing percentage or any fixed expense to see how the forecast changes. Depreciation comes from the investment schedule and interest comes from the loan, keeping the four parts of the plan connected.

Build revenue from assumptions you can explain. An online shop might use visitors, conversion and average order value; a consultant might use billable hours and an hourly rate. Allow for holidays, the launch period and seasonal demand in the monthly amounts. The example's €60,000 annual revenue is an assumption for illustration, not a prediction about your business. Existing businesses can import reviewed XAF history, then separate recurring expenses from exceptional or start-up costs.

Cost of goods sold is entered as a share of revenue. Subtracting it from sales gives gross profit. The next deductions are staff, premises, marketing, insurance, administration and other operating costs. Start-up costs are included in the first month. Depreciation reduces operating profit, while the actual purchase belongs in the investment budget. Loan interest reduces pre-tax profit. Principal repayments affect cash and therefore appear in the cash-flow forecast rather than operating expenses.

Choose the legal form carefully. For a sole trader, personal drawings reduce cash but are not an operating expense. Business profit is therefore shown before personal income tax. For a Dutch BV, enter director salary and an allowance for employer costs. The selected tax percentage creates a planning reserve only. It does not calculate an actual income-tax or corporate-tax assessment, apply tax credits or settle losses from other years.

Use the cautious scenario to test twenty percent less revenue and ten percent higher fixed costs. The optimistic scenario assumes twenty percent more revenue and five percent higher fixed costs. Custom percentages let you explore your own sensitivity. Compare the result with break-even revenue and consider which expenses can realistically fall if sales disappoint. An annual profit does not guarantee sufficient cash in every month.

Download a free operating-budget PDF or Excel workbook. Workbook formulas calculate gross profit, operating profit, reserves and cash from the included cells. Change payment timing or loan terms in the online calculator and export again. Add the evidence behind your sales, contracts and costs before discussing the plan with a lender. Keep a reviewed version and revisit the forecast when actual trading gives you better information.

Operating budget example

In January the example webshop sells €3,500 excluding VAT. Purchases at 40% are €1,400, leaving €2,100 gross profit. After €680 fixed costs, €1,000 launch costs, €100 depreciation and €50 interest, profit is €270 before personal income tax. Loan principal reduces cash but is not another expense.

Sole-trader budget: profit and drawings

Choose sole trader/partnership and enter monthly drawings. They reduce cash, not business profit. For a BV, director salary is included in operating costs.

Common questions

What belongs in an operating budget?

Revenue, cost of goods, gross profit, operating costs, depreciation, interest and profit. This tool also shows your chosen tax reserve and totals per forecast year.

How do operating and cash-flow budgets differ?

An operating budget records revenue and costs. Cash flow tracks receipts and payments, including principal, VAT and drawings. A late customer payment shifts cash, not automatically revenue.

Should the full investment count as an expense?

Fixed assets are depreciated over the entered useful life. Their purchase reduces cash at the start. Opening inventory and start-up costs have separate treatments visible in the plan.

How do I budget personal drawings?

Choose sole trader/partnership and enter monthly drawings. They reduce cash, not business profit. For a BV, director salary is included in operating costs.

Can I edit the operating budget in Excel?

The export contains formulas for gross profit, EBIT, profit and cash. Payment timing, VAT amounts and loan data are calculated starting values: change those online and export again.
